This Privacy Policy explains how Yolo Admin (“we”, “us”, “our”) collects, uses, shares, and protects personal information when you use our platform. We are committed to processing personal information lawfully and transparently in line with South Africa’s Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

Yolo Admin is business management software for service-based businesses, based in Cape Town, South Africa. For the personal information you enter about your own clients and staff, you (the Business) are the responsible party and we act as an operator processing that information on your behalf and instructions.

2. Information we collect

  • Account information — name, email address, phone number, password, and (where provided) banking details used on invoices.
  • Business information — business name, registration and tax details, address, contact details, and branding.
  • Operational data you enter — clients, bookings, events, invoices, notes, payroll/commission records, projects and tasks, team time entries and timesheets, and (where used) inventory and stock records.
  • Support information — messages, and (where you choose to include them) app location, console logs, and screenshots submitted with a support request.
  • Technical data — information generated automatically when you use the Platform, such as authentication session data and basic device/log information needed to operate and secure the service.

3. How we use information

  • To provide, operate, and maintain the Platform and its features.
  • To generate bookings, invoices, and reports on your instruction.
  • To authenticate users and keep accounts and data secure.
  • To respond to support requests and communicate service-related information.
  • To comply with legal obligations.

4. Multi-business data isolation

The Platform is multi-tenant. Each Business sees only data related to its own operations. Where a User or Client interacts with more than one Business, that information is not shared between those Businesses. Employment or contract relationships at one Business are not visible to another.

5. How we share information

We do not sell your personal information. We share it only:

  • With service providers who host and support the Platform (for example, our cloud database and infrastructure providers), under appropriate confidentiality and data-protection obligations.
  • Where you enable optional features that rely on a third party (for example, email delivery for notifications).
  • Where required by law, or to protect our rights, users, or the security of the Platform.

6. Payments

Payments between you and your own clients are made directly between them and you — Yolo Admin does not process those payments, and any banking details you enter are used only to display on the invoices you generate.

Your Yolo Admin subscription is charged through a third-party payment provider (Paystack). We do not store your full card number — only a secure payment token and your card’s last four digits — and the provider handles the payment subject to its own privacy terms.

7. Platform access by our staff

Super Admin accounts operated by Yolo Admin staff may access data for technical support, system maintenance, security investigations, and legal compliance. Access is limited to these purposes.

8. Data retention

  • Active accounts: data is retained while the account remains active.
  • Closed accounts: we delete or anonymise personal information within a reasonable period after closure, except where we are required to keep it by law (for example, financial and tax records).
  • Legal holds: data may be retained longer where required by law.

9. Security

We take reasonable technical and organisational measures to protect personal information, including access controls and row-level data isolation between businesses. No system is perfectly secure; you are responsible for keeping your login credentials confidential and for notifying us of any suspected unauthorised access.

10. Your rights (POPIA)

Subject to applicable law, you have the right to access the personal information we hold about you, to request correction or deletion, to object to certain processing, and to lodge a complaint with the Information Regulator (South Africa). Much of your information can be viewed and updated directly in your account settings. For other requests, contact us using the details below. Where we process information on behalf of a Business, we will direct your request to that Business as the responsible party.

11. Children

The Platform is intended for use by businesses and their staff, and is not directed at children. We do not knowingly collect personal information from children without appropriate consent.

12. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated where reasonably practicable, and continued use of the Platform after changes constitutes acceptance.
