Terms of Service

These Terms of Service (the “Terms”) govern your access to and use of the Yolo Admin platform. By accessing or using Yolo Admin, you agree to be bound by these Terms. If you do not agree, you may not use the Platform.
1. Definitions
- “Platform” — the Yolo Admin web application and associated services.
- “Business” — an organisation or entity using Yolo Admin to manage its operations.
- “Location” — a physical or operational branch within a Business.
- “User” — an individual with access to the Platform (business owner, employee, or contractor).
- “Client” — an end customer who books services or receives invoices.
- “We / Us / Our” — Yolo Admin and its operators.
- “You / Your” — the individual or entity using the Platform.
2. Multi-Business Employment & Privacy
2.1 Cross-business independence
- Users may work at multiple Businesses and Locations simultaneously.
- Employment or contract relationships at one Business are not visible to other Businesses.
- Each Business sees only data related to its own operations (bookings, invoices, clients, events).
2.2 Data isolation
- Client data is Business-agnostic and only visible via bookings and invoices.
- One Client may interact with multiple Businesses without data being shared between those Businesses.
- Users are responsible for managing their own contractual obligations with each Business.
2.3 No conflict restrictions
- The Platform does not enforce or prevent Users from working at competing Businesses.
- Users are solely responsible for compliance with employment contracts and non-compete clauses.
- Yolo Admin assumes no liability for breach of external employment agreements.
3. Business Models & Financial Obligations
3.1 Employment-based model
- Clients pay the Business or Location directly.
- The Business is responsible for paying salaries and complying with employment law.
- The Platform is not a payroll service and does not handle salary payments.
3.2 Contract-based model
- Users invoice Clients directly using their own banking details.
- Clients pay Users directly (not the Business).
- Users are responsible for issuing accurate invoices, collecting payment, paying applicable commission or rent to the Business/Location, and complying with tax obligations.
3.3 Income reports & commission
- Income reports are informational tools only.
- The Platform calculates commission based on Business policies, but Yolo Admin is not a party to commission agreements, does not facilitate commission payments, and commission calculations are estimates that Users must verify.
4. Invoicing & Payment
4.1 Invoice accuracy
Users are solely responsible for the accuracy of invoices generated. The Platform provides tools to generate invoices but does not guarantee legal compliance in all jurisdictions, tax calculation accuracy, or Client payment.
4.2 SARS compliance (South Africa)
Invoices include fields intended for SARS / NCA compliance. Users and Businesses must ensure compliance with local tax law. Yolo Admin is not a tax advisor and provides no tax advice.
4.3 Payment processing
- Yolo Admin does not process payments between you and your clients — those payments are made directly between Clients and Users/Businesses.
- Banking details displayed on invoices are User-provided; we assume no liability for errors.
- Your Yolo Admin subscription fees are charged through a third-party payment provider (Paystack); we store only a secure payment token and your card’s last four digits, never the full card number.
5. Data Ownership & Privacy
You retain ownership of all data you input into the Platform. We do not sell or share your data with third parties except as required by law. Our handling of personal information is described in our Privacy Policy, which forms part of these Terms.
5.1 Platform access
Super Admin accounts (operated by Yolo Admin staff) may access data for technical support, system maintenance, security investigations, and legal compliance. Business owners may request audit information via support.
5.2 Data retention
- Active accounts: data is retained while the account remains active.
- Closed accounts: we delete or anonymise personal information within a reasonable period after closure, except where we are required to keep it by law (for example, financial and tax records).
- Legal holds: data may be retained longer where required by law.
6. User Responsibilities
- You are responsible for maintaining the confidentiality of your login credentials and must notify us immediately of any unauthorised access.
- You may not use the Platform for illegal activities and must comply with all applicable laws (employment, tax, privacy, and others).
- You are responsible for the accuracy of all data entered. Inaccurate data may result in incorrect invoices, reports, and commission calculations.
7. Limitations of Liability
7.1 Platform provided “as is”
Yolo Admin is provided without warranties of any kind. We do not guarantee uninterrupted or error-free operation.
7.2 Financial liability
We are not liable for:
- Incorrect invoices or commission calculations due to User error.
- Non-payment by Clients.
- Tax penalties or compliance failures.
- Disputes between Users and Businesses regarding commission.
- Loss of data due to User error or force majeure.
7.3 Maximum liability
Our total liability to you shall not exceed the amount you paid us in the 12 months prior to the claim.
8. Termination
8.1 By you
You may delete your account at any time via User Settings. Leaving a Business does not delete your account; you may rejoin if re-invited.
8.2 By us
We may terminate accounts for violation of these Terms, non-payment of subscription fees (where applicable), illegal activity, or abuse of the Platform.
9. Changes to These Terms
We may update these Terms at any time. Continued use of the Platform after changes constitutes acceptance. Material changes will be communicated where reasonably practicable.
10. Governing Law
These Terms are governed by the laws of South Africa. Disputes shall be resolved in the South African courts.
